SMS Privacy Policy — Retina Vitreous Center

Retina Vitreous Center (“RVC”, “we”, “our”) operates an SMS notification service that sends surgical schedule summaries, appointment-related reminders, and operational updates to authorized clinic staff, surgeons, and contracted providers (“recipients”). This policy explains what data we collect through that SMS service and how we use it.
What we collect
- Mobile phone numbers provided directly by recipients during onboarding to our practice management software (ORchestra)
- Opt-in confirmation records (date, time, method)
- Delivery and engagement metadata returned by our SMS carrier (Telnyx)
How we use it
- Send scheduling and operational SMS messages directly tied to each recipient’s role at the practice
- Maintain audit records of consent, delivery, and opt-out events as required by federal and Oklahoma state law
What we do NOT do
- We do NOT share or sell mobile phone numbers to any third party for marketing purposes
- We do NOT use phone numbers for advertising, profiling, or analytics outside the operational needs of the practice
- Mobile information is not shared with third parties or affiliates for marketing/promotional purposes
Patient information
This SMS service is for clinic staff and authorized providers. Patient health information is NOT transmitted by SMS through this service.
Opting out
Recipients can opt out at any time by replying STOP to any message from our SMS service. After opt-out, we retain a record of the opt-out date but no further messages are sent.
Data retention
We retain phone numbers and consent records for the duration of the recipient’s affiliation with the practice plus the period required by applicable law. Messages older than 90 days are purged from our active systems.
